VeriField Pro — account & data deletion

You can delete your VeriField Pro account at any time. Deleting it closes your sign-in permanently and removes your personal contact data from your account. Your name and the mine-safety records you are part of are kept, because U.S. mine-safety law requires the mine operator to keep them. Your employer's employee record of you also keeps your name, email address and phone number, for the company's records. This page explains how to request deletion, what is removed, and what is kept.

1. If you still have the app installed

Deleting your account from inside the app is the fastest way:

  1. Open the VeriField Pro app and sign in.
  2. Go to Settings (from the More tab).
  3. Under Account, tap Delete Account.
  4. Read the confirmation, then tap Delete Permanently.

Your sign-in is closed as soon as the deletion completes, and your personal contact data is removed at the same time. A session already open on another device ends when its sign-in token next renews. If closing your sign-in fails, the app tells you so and asks you to contact us; it does not report the account as deleted.

2. If you have already removed the app

Email legal@verifieldpro.com from the email address on your account, with the subject “Account Deletion Request.” Please include the full name and employer (mine operator) associated with the account so we can verify your identity. We will complete the deletion and confirm by email within 30 days.

3. What is removed

  • Your sign-in. It is closed permanently. You will no longer be able to sign in by email and password or with a linked Apple or Google account.
  • Your personal contact data on your account. Your email address, phone numbers, emergency-contact name and phone, and profile photo. Your employer's employee record keeps its own copy of your name, email address and phone number (see Section 4).
  • Your credentials and devices. Your supervisor override PIN, your saved signature, and your push-notification tokens.
  • Your number in our text-message log. The phone number and message text are removed from texts sent to you; the fact that a text was sent is kept.
  • An open lone-worker session is ended, and the site's supervisors are told.

Backup copies of your profile photos are kept for two years, used only to restore lost files, and then removed.

4. What is kept, and why

VeriField Pro is a federal mine-safety compliance system. The safety records you are part of are business records of the mine operator (your employer), and U.S. Mine Safety and Health Administration (MSHA) regulations require the operator to keep them. Deleting your account keeps them, with your name as it appears on them:

  • Training and certification records
  • Site check-in/check-out records
  • Workplace examination records
  • Pre-operational and equipment inspection records
  • Hazard and incident reports
  • Emergency and lone-worker records
  • Your employer's employee record of you, with your name, email address and phone number, kept for the company's records

Your name stays because a training record must carry “The printed full name of the person trained” (30 CFR 46.9(b)(1)), and your MSHA ID number stays because it identifies you on those records. For training records, 30 CFR 46.9(h) says:

“You must maintain copies of training certificates and training records for each currently employed miner during his or her employment, except records and certificates of annual refresher training under § 46.8, which you must maintain for only two years. You must maintain copies of training certificates and training records for at least 60 calendar days after a miner terminates employment.”

VeriField does not delete these records automatically today. How long they are kept is set out in the Data Retention section of our Privacy Policy. Apple's App Store Guideline 5.1.1(v) permits retaining data a developer is legally required to maintain.

Because VeriField Pro acts as a data processor on behalf of your employer, your employer (the data controller) ultimately governs the retention of these compliance records.
